Reconciliation Guide

Reconciliation helps you verify that your recorded sales match the actual money you've received. This ensures your business records are accurate and helps catch any discrepancies early.

Overview

The Reconciliation Hub is your central dashboard for all reconciliation activities. It provides a comprehensive view of your daily sales, payment breakdowns, and quick access to reconciliation tools. Reconciliation is about verifying that the money you've physically received matches what you've recorded in your sales.

Quick Actions

The Reconciliation Hub provides three main quick actions:

Cash-Up

This is where sales-to-payment matching happens. The system calculates expected amounts from your sales (grouped by payment method: Cash, MTN MoMo, Airtel Money, etc.), and you enter actual amounts you counted or verified. The system automatically matches expected vs actual for each payment method and calculates variances to identify discrepancies.

Use when: End of day or shift to match your sales records with actual money received (cash and mobile money).

Summary

View your daily business performance including total revenue, expenses, payment method breakdown, and top-selling products.

Use when: You want to review daily performance metrics and understand your business trends.

History

Access all your past cash-up records. Review trends, track variances over time, and maintain accurate financial records.

Use when: You need to review past reconciliations, track patterns, or export records for accounting.

How Reconciliation Works

Reconciliation matches your recorded sales with the actual money you've received. The process involves comparing expected amounts (calculated from sales) with actual amounts (what you count or verify):

  1. Record Sales Throughout the Day

    As you make sales, record them in MOMO LENS with the correct payment method (Cash, MTN MoMo, Airtel Money, etc.). The system uses these records to calculate expected amounts for each payment method.

  2. View Today's Summary

    The Reconciliation Hub shows your total sales, broken down by cash and mobile money. This gives you a quick overview of expected amounts you should have received.

  3. Perform Cash-Up (Where Matching Happens)

    The Cash-Up screen is where the actual matching occurs. The system calculates expected amounts from your sales (grouped by payment method), and you enter actual amounts you counted or verified. The system automatically matches expected vs actual for each payment method and calculates variances.

  4. System Matches Sales with Payments

    For each payment method, the system: (1) Sums all sales recorded with that method to get expected amount, (2) Compares with your actual count/verification, (3) Calculates variance showing any discrepancy. This matching helps identify if sales were recorded incorrectly, payments weren't received, or there are other issues.

  5. Review Variances and Investigate

    Variances are sorted by largest first, making it easy to spot discrepancies. Review the sales breakdown to see which sales contributed to each expected amount. Investigate any mismatches and document findings in notes.

  6. Complete and Save

    Once you've reviewed variances and added notes, complete the cash-up. The system saves the reconciliation record with all expected, actual, and variance amounts for each payment method, creating a complete audit trail.

The Reconciliation Hub displays a comprehensive summary of today's activity:

Total Sales

The hero card shows your total sales for today, giving you an immediate view of daily performance.

Payment Method Breakdown

See cash sales vs mobile money sales with visual progress bars showing the percentage split. This helps you understand payment preferences.

Net Profit

View your net profit after expenses, giving you a clear picture of daily profitability.

Recent Reconciliations

The hub displays your recent reconciliation activities:

  • View recent cash-up sessions with status indicators
  • See reconciliation dates and types (Cash-Up, Daily Summary)
  • Track variances from past reconciliations
  • Identify completed vs pending reconciliations
  • Quick access to reconciliation history

Best Practices

Reconcile Daily

Perform cash-up reconciliation at the end of each business day or shift. This helps catch discrepancies early and maintains accurate records.

Count Carefully

Take time to count cash accurately. Double-check your count if variance is significant. Consider counting by denominations for accuracy.

Document Variances

Always add notes explaining significant variances. This helps with investigation and provides context for future reference.

Review Trends

Regularly review reconciliation history to identify patterns. Consistent variances may indicate process issues that need attention.

Use Summary for Insights

Review the Daily Summary regularly to understand payment patterns, top-selling products, and business trends. This helps with decision-making.

Troubleshooting

Large Variance

If variance is unexpectedly large, double-check your cash count, verify sales records are correct, and review change given. Check for any unrecorded transactions or errors in data entry.

Expected Amount Doesn't Match

Verify that all sales are recorded correctly. Check for refunds that may have affected totals. Ensure payment methods are recorded accurately.

Missing Sales Data

If today's summary shows no sales but you know you made sales, check that sales are being recorded correctly. Verify you're viewing the correct date.
